Job Responsibilities:

  • Support the Maintenance Department in meeting various goals and objectives by assisting in all aspects of facility maintenance
  • Organize,track and maintain facilities information
  • Act as a liaison with employess, tenants and vendors as necessary to maintain accurate facilities information
  • Serve as backup to the Secretary as needed to ensure efficiency of the department
  • Responsible for resolving routine repair and/or maintenance problems for SUTL House and other company's properties
  • Attend to sale/rental enquiries and viewing appointments
  • Interpret leases in order to determine landlord/tenant responsibilities
  • Maintain accurate records of all repair and maintenance issues and invoices
  • Assist in distribution of tasks and coordination with the facilities team
  • Source for quotations for Facilities Management related
  • Periodically inspect the facility (at least weekly) to insure all areas are kept in a neat, orderly, clean, safe and efficiently-operating condition
  • Co-ordination of maintenance schedules and standards for aircon and electrical works
  • Administer and renewal of preventive maintenance agreements
  • Check and match purchases against invoices and delivery orders for payment pertaining to property development
  • Maintenance and updating of office records including having proper filing system and storage
  • Participate in ad-hoc projects and any other duties that may be assigned from time to time

Requirements:

  • Candidate must posses at least a Diploma or equilvalent
  • At least 2 - 3 years experience in administrative role, ideally in property management or facilities management
  • Good organization skills, attention to detail and be prepared to take responsibility for all areas of the job role
  • Advanced profiency in Microsoft applications (Word, Excel, Outlook)
  • Ability to organize and prioritize daily work and maintain confidentiality
  • Ability to perform with minimum supervision
  • Good communication skills
  • OT required
  • 5 days work week
  • Working hour: 9am - 6pm (Mon-Fri)
  • Lunch provided
